My client is a membership based organisation that helps independent schools with government funding on a national basis. This client is looking for an experienced Executive Assistant to join their team on a short term contract. In this position you will report to the Executive Director and provide general office support to all secretariat staff.

Duties of the role include but are not limited to:

  • Coordinate diary, email and travel management
  • Screening and responding to email and phone enquiries
  • preparing meeting papers and developing or co-ordinating presentations and material
  • Providing administrative and logistical support to the office and regarding aspects of corporate governance
  • Photocopying, collating and distributing Board papers.
  • Responsible for hard copy filing and archiving functions using TRIM, an electronic record keeping system.
  • Ensuring contact details are kept up to date in Microsoft Outlook.
  • Generating mailing lists from Outlook for the distribution of publications.
  • Updating information lists used by staff.
  • Providing support to the Policy Analyst in relation to internal IT support, including uploading
  • information to the website.
  • Ordering office supplies.
  • Organising building maintenance tasks as required.
  • Coordinating travel arrangements for staff and Board members’
  • Liaising with a wide range of stakeholders to effectively work towards project outcomes
  • Resource development with the approach to effective project delivery
  • Recommending strategies and approaches for service improvements and project delivery improvements

Skills and experience:

  • Previously demonstrated experience working on project delivery
  • Previously demonstrated experience in executive support
  • Previously working to deliver outcomes for communities and families
  • Ability to effectively communicate and liaise with a wide range of stakeholders
  • Ability to work effectively in a team with a separate roles towards a common goal
  • Ability to meet tight deadlines

The Executive Assistant will work in close relationship with the Chief Financial Officer (CFO), by providing high-level support to the CFO. The successful applicant will play a key role in the day to day operations of the office providing high level corporate support and working with a diverse range of stakeholders including other key executives and their related teams.

Essential Criteria

  • Clearly demonstrated and proven experience as an Executive Assistant/Executive Support Officer/Office Manager or similar within a busy multifaceted environment.
  • Proven capacity to work individually or as part of a team delivering quality and valued work in a timely manner, demonstrating strong planning and organisational skills.
  • High level interpersonal skills with a courteous and collaborative approach and an ability to build positive relationships with external and internal stakeholders. You will have strong communication skills (both oral and written).
  • Professional experience and advanced working knowledge with computer
  • software packages including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Docs.
  • Experience working with operational budgets and finance matters would be an advantage.

As a member of the ASC Board, Executive and Corporate Support team, you will provide a range of high level executive and secretariat support services to assist the Board and Executive to achieve business objectives, including in the management of the Office of the Chief Executive Officer (CEO) to ensure day-to-day management requirements are met. We are looking for a candidate who will possess the following:

  • Tertiary qualifications in administration, office management, business management or another relevant field are highly desirable.
  • Demonstrated executive support experience within a dynamic senior executive environment.
  • Demonstrated experience in, or understanding of, the provision of administrative support services to Committees and Boards.
  • Demonstrated experience in developing, monitoring, maintaining and implementing information, records, policy and procedures.

We are looking for a resourceful person with extensive administration experience and well-developed interpersonal and communication skills for the role of Executive Assistant Support Officer.

A key purpose of this role is supporting Executive Assistant’s (primarily to the Mayor and General Manager’s Office and Group Manager Engineering Services) during periods of peak workloads and leave.  The role is a full-time, permanent position that also covers administration staff absences across the whole of organisation.

A salary between $62,810 and $75,565 will be negotiated with the successful applicant (plus 12½% superannuation).

About the Role

The Executive Assistant will support the Chief Nursing & Midwifery Officer (CNMO) and the Executive Director Clinical Operations (EDCO) to ensure the provision of administrative and secretarial services in order to achieve organisational goals and excellence in service delivery.

This highly regarded position will be responsible for:

  • Providing confidential and efficient secretarial services in relation to the flow of information to and from the office of the CNMO/EDCO
  • Preparing agendas, and accurately maintaining minutes and records of major events
  • Developing, formatting and delivering documents to the appropriate parties as directed by the CNMO/EDCO
  • Planning and coordinating functions and special projects as required
